Searching for Notes at the County

  • I’m hoping folks here can assist with some pointers on locating notes at my county’s recorder, in order to market note purchasing to the holder.

    I’m going to go in for a chat with the folks there, but hoped some of my time might be saved by following any sage advice that might be gained here ahead of time.

    Any pointers?

    You’ll probably being going in to the Deeds Records room – at least this is what it’s called in Georgia.

    Kim and I learned how to do title searches by hiring deed dogs (this is what folks who do title look ups are called in Georgia) to teach us how to do title searches. The deed dogs do NOT work for the county. Most are private contractors who work for law firms.

    PS Begin by looking up your house in the deeds room. Then your friends houses. then your neighbors’ houses.

    In Indiana there is an online resource called Doxpop which has allowed the records of most counties to be online. See if your state has something similar. There is a fee for using this service but it allows you to do a record search for new mortgages and then you may have to sort that by ones which are initiated by banks vs individuals or LLC’s and Trusts. Depending on how your state is set up this may get what you want.

    I’m guessing that you’re looking to start marketing to private note holders that have sold via seller finance?
    There are services that are able to provide you with the info you are looking for at scale. I sell 1 to 4 houses per month via seller finance wrap and I get letters all the time from note buyers, big and small.

    You can look for a service provider to buy data or you can develop web scraping tools that crawl Reg of Deed online. I’m guessing that if you can compile the data, it’s as simple as formatting for Seller Name same as DOT/Mortgage Grantee Name. Grantee mailing address is right there…

    Some states have really clean Bar Association docs that make this really easy. Some attorney’s lawyer these docs up and bury simple data in word salad. Good luck!

    Depending on the county where you are or where you want to buy notes, their records can be searched online or you have to go to the Recorder of Deeds office. Good place to start https://publicrecords.netronline.com. Click on the state and corresponding county link you want to find Office of recorder of deeds or something similar. Some counties may require subscription. (not all counties are online). Unless you want to target a specific county and be one of the first to reach them, buying list from a list provider may be better use of your time. Reach out if you want a detailed walk through.

    Finally getting around to updating this.

    I was searching through the recorder’s office in a few counties in Utah, but since writing my original post, have discovered a new route. I recently became licensed as a real estate agent to add to the toolbox of options when out knocking on doors, etc. I recently discovered that our MLS includes a search option to filter based on conditions under which properties were sold: Cash, FHA loan, Seller Subordination, Lease Option, and most importantly — when a property is bought using seller financing.

    I’m now receiving search alerts through my MLS anytime a property is sold in the state using seller financing, and after a quick review of the pertinent details of the sale, I’m adding that property to my marketing campaign (counting on the USPS to forward to the new address of the seller).

    For folks looking for notes in your own area, you may try asking your agent friends if anything like this exists for your local MLS and see if they’ll put you onto a ‘client alert’ search.

    Saw your updated reply of using the MLS. Wonderful idea. Do me a favor, when your up on going let me know how many you find on a monthly basis and what types of property predominate.

    Hey Andrew,
    There is a site that you can use for free leads all across the country called Propwire.com You just create an account for free and go through the filters of what you’re looking for. But on there, you can select private loans and whatever real estate you are looking for. I did just try UTAH and only 61 propeties came up. So, either they dont have a lot of data for UT or not many seller financing deals being done there. Nonetheless, it’s free and another resource to check out. But the site has plenty of other lead sources thats worth checking out as well.

    Hi Jordan, thanks for the input. I’ve used PropWire and found their data to be badly lacking for Utah, at least for notes. I use pw as a quick resource for publicly available info, but Utah is a nondisclosure state so a lot of what other states show isn’t found.

    Case in point: I used my MLS access to search for properties that sold on seller finance for the last 180 days and I there were 406 sales, as opposed ot the 61 you’ve found on pw. Plenty of those were admittedly straight wrap mortgages / all inclusive trust deeds without any actual note being created, but I’ve got more than 100 in my tracker that I’m marketing to that sold and created a seller finance note from March 2025 through mid-July (I’ve got to go grab the last few weeks’ data).

    Andrew, I admire how you are using technology in your business.

    My not using technology has been one of my greatest downfalls.
